We need to keep track of what out maintenance contractor is doing, it is our biggest cost by a very long way, over €50,000 a year including materials.
The current company monitors the hours worked based on when they drop the worker off and when they pick him up (they say they drop him off around 8.00am and pick him up around 15.00) but this is NOT how long here WORKS, just how long he is here.
Now we can use AI to produce a perfect daily report of everything they do and how well they do it. We can also see how many hours are worked and ask them to account for missing hours.
Here’s how it works, every day the gardener takes before and after photos of the work done (for example mowing the lawns, Pulling weeds etc) and emails them to a dedicated email the AI then uses the lookup tables I create and the EXIF data from the photos to create the attached report. all free and no input from us, no site visits etc, just a quick scan of the daily reports!!
This example is actually what he did on Friday 22nd. He started at 08.15 and the van picked him up at 14.40. (so not the full 7.00 hours) and he mowed half of the block 2 lawn. There is a lot of unaccounted for time.
Here’s the Friday Report (some data is manually entered because I only thought of this later in the day after we saw him leaving early and thought we can’t watch him all the time and so I wrote the AI to do it for us).
Of course what we should really do is pay for each task done (we pay a fixed price to have the lawns mowed, rather than for hours on site. For example we pay €508 a year to have the Palms maintained it’s easy to manage, do the Palms look great? Yes! Ok pay them…It’s MUCH easier to manage and makes sure they work faster and use modern efficient tools. I am getting quotes now from companies that work this way.
